How TryoutEngine handles information about players, evaluators and parents, and what you can ask us to do with it.
TryoutEngine is provided by Summit Innovations LLC, 1517 140th Ln NW, Andover, MN 55304. This notice covers the TryoutEngine platform at tryoutengine.com and our other service domains.
Your association runs its own evaluations and decides who may see the results. We provide the software it uses. For the information an association puts into TryoutEngine, the association decides what is collected and who sees it, and we act on its instructions. If you want your player's information corrected or removed, you can ask either your association or us, and we will work with them.
Two things we do on our own behalf, not the association's, are described below: improving the fairness and accuracy of our methods, and the optional family report. Those are our responsibility, and you deal directly with us.
Information your association enters or uploads: a player's name, birth year or age level, program, jersey number, position, and any parent or guardian contact details the association chooses to supply. Evaluation results: scores, times, attempts, evaluator identity, session and station, and the timestamp of each entry. Account information for the association's own administrators, evaluators and judges: name, email address, and sign-in credentials.
We do not collect information directly from children, and we do not ask children to create accounts. Information about anyone under 18 is treated as children's information throughout this notice.
Running the service: recording evaluations, generating rotations and groupings, producing results and reports for your association, and supporting its administrators.
Improving fairness and accuracy: we check and improve our scoring and ranking methods, including correcting for differences between evaluators. For that work we replace your player's name with a code wherever practical, and we keep the information that connects the code to your player separately, with access restricted to the few people who need it. The code lets one season's results be connected to the next within your own association. We do not connect your player's results across different associations unless a parent or guardian asks us to.
The statistical models and settings that come out of that work do not identify any individual, and we keep and use them in our products.
We do not sell, rent or license information about individual players. We do not use it for advertising, and we do not market to children. We do not try to re-identify coded information, and anyone we share de-identified figures with is bound in writing to the same commitment. Any public figures we publish are combined across at least five associations, and we do not name an association without its permission.
Records showing your player's name are kept for a period your association chooses, after which the name is replaced with a code. Coded results are kept for no more than seven years after your player's last evaluation, after which the code is removed so that seasons can no longer be connected to each other or to your player. Statistics and models that do not relate to any one player may be kept longer.
We use a small number of outside services to run the platform, such as hosting, email delivery and scoring computation. Each one that receives information about children is bound by written terms requiring it to keep that information confidential and to use it only to provide services to us. The current list, and what each service receives, is at Subprocessors. Before adding a service that will receive identifiable information about children, we update that page and notify each association in advance.
We do not otherwise share your player's information, except where the law requires it.
We may offer you a paid report on your own player's results and development over time. If you want one, you sign up with us directly, confirm that you are the parent or guardian, and choose whether to connect your player's history across seasons and across associations. Nothing is connected across associations unless you choose it. Buying a report is entirely your choice, has no effect on evaluation or team placement, and does not replace any report your association gives you. Every offer we send includes an easy way to stop receiving them. You can withdraw your consent at any time.
All of our service domains are served over HTTPS, and information in transit is encrypted. Copies we hold outside the live system, including our backups, are kept on encrypted devices or services. Production credentials are held only by our own personnel and are not shared by unencrypted channels. Each association's account is scoped to its own data and cannot reach another association's. The information that connects a code to a named player is kept separately from the coded results.
Devices your association uses, and anything exported, printed or screenshotted once it has left the platform, are under the association's control.
You may ask to see, correct or delete your player's information, or to stop your player's results being connected from season to season. Ask your association, or email us at legal@tryoutengine.com. We will verify that you are the parent or guardian, then act within 45 days. If we need longer we will tell you, and we may take one further 45 days.
When you ask, we remove the connection between the code and your player's name and separate the coded seasons so they can no longer be linked. Two honest limits: we do not rewrite existing backup copies, but we record your request and apply it again before any backup is used for anything other than restoring the service; and statistical models already improved using coded results are not undone, because they do not identify your player.
If TryoutEngine is sold, merged or transferred, the new owner must take on these same commitments in writing, and associations are notified.
If we change this notice we update the date at the top. If a change materially affects how we handle information about children, we notify each association's notice contact.
